What does success with X3 actually look like?
Audit-ready, with no surprises. We do the heavy lifting — filings, queries, log audits, roster work, the dashboard — and we tell you when something is trending the wrong way before it becomes a violation. Your dashboard reflects the real state of your program, and when FMCSA sends a letter or an inspector shows up, there's a clear next step and someone you can call. Your job is to act on what we send. The carriers who get the most out of X3 treat our advice as action items, not suggestions.
Who does the work — X3 or us?
Most of it, X3. We handle everything that can be done from our side — filings, queries, audits, roster maintenance, dashboard, alerts. What we can't do is the on-the-ground execution: a driver getting their physical, a truck rolling into an annual inspection, a policy update actually communicated to your team. A reminder that goes unactioned is just a reminder. We give you the playbook; you run the plays. That hand-off is the partnership.
Is this a vendor relationship or a partnership?
Partnership — and that word isn't marketing fluff. We work with you, not for you. Two-way communication: we push alerts and findings, you loop us in when things change — a new route, a new driver class, a spike in inspections. The more you treat us as part of your team rather than a bill you pay, the more value we deliver. Treat our advice as action items, not suggestions, and the program works.
Can you guarantee my fleet will be compliant?
No — and anyone promising that is bluffing. Too many variables sit outside any consultant's control: driver behavior, inspector discretion, equipment failures, clerical errors at FMCSA. What we can guarantee is this: we will be with you every step of the way, give you straight answers backed by 49 CFR, respond fast when it matters, and advocate for you when an inspector writes something that isn't right. The outcome depends on the work getting done — by us, and by you.
Getting started
How fast can I get set up?
Most carriers are fully onboarded within 48 hours of signing up. We meet with you to understand how your fleet runs, get your dashboard configured to match, upload your driver and vehicle rosters, and walk your team through the platform end-to-end so you're comfortable before we step back. For new entrants already inside their audit window, we can accelerate this further.
Is there a setup fee?
Yes — a one-time setup fee of $199. That covers getting your dashboard built, rosters loaded, driver files constructed, any add-ons provisioned, and a full walkthrough with your compliance team. It's billed once and never again.
Do I sign a long-term contract?
No. We operate month-to-month. Cancel anytime with 30 days notice. We believe if we're doing our job, you'll never want to leave.
What if I'm switching from another consultant?
We handle the migration. Send us whatever files you have — in any format — and we'll rebuild them properly inside the X3 platform. Most transitions take 48–72 hours with zero disruption to your operations.
Pricing & billing
What does the $50/driver/mo cover?
The short answer is core compliance management under one predictable number. The real answer depends on your operation. We start by sitting down with you to understand the size of your fleet, how you run dispatch, where your compliance gaps sit today, and what your growth plans look like — then we build a gameplan together. Some fleets sit neatly inside the base subscription; others layer on add-ons like continuous MVR monitoring, Clearinghouse queries, or audit prep. We agree on the scope before anything gets billed, so you always know what you're paying for.
What counts as a "driver"?
Anyone you put behind the wheel of a commercial motor vehicle. That includes CDL drivers, non-CDL drivers operating CMVs over 10,001 lbs, leased operators, and owner-operators running under your authority.
What happens if I add drivers mid-month?
Each driver added to your dashboard is billed at $50/driver/month. Add them as you hire, remove them when they leave — no tiers to upgrade into, no surprise renewal bills. Your invoice simply reflects who's on the roster.
Can I cancel anytime?
Yes. Log in, click Cancel, done. We'll export all your data and send it to you in a clean handoff package. No guilt trips, no long-term commitment.
Services & compliance
Do you handle audits on our behalf?
Yes. Audit support and guidance is part of your standard subscription — we help you respond to investigator requests, point you at the exact records they're asking for, walk you through what to expect, and make sure nothing gets mishandled during the process. This applies whether it's a New Entrant Safety Audit, a Compliance Review, or a rapid audit triggered by CSA scores. For carriers that want us fully out in front — taking the lead on investigator communications, producing the records ourselves, and representing you through the audit — we offer an audit add-on. Ask us about it and we'll match it to what your situation actually needs.
Are you a TPA (third-party administrator)?
Yes, we run a DOT-compliant consortium/third-party administrator program. Drivers are pooled with other carriers for statistical validity on random draws, and we manage the entire lifecycle — selection, scheduling, MRO review, SAP referrals, and Clearinghouse reporting.
Which ELD providers do you work with?
We gather your ELD details during onboarding and immediately work with your provider to integrate the data properly into your X3 dashboard. Whatever you're running today, we'll meet it where it is.
Do you help with state-level compliance too?
Yes. We'll work with you to understand the scope of what you need and support DOT filings where applicable — from state authority registrations to fuel tax and weight/distance filings — matched to where you actually operate.
What if my drivers don't speak English?
FMCSA requires English proficiency under 49 CFR 391.11(b)(2). Spanish-language driver materials may be provided upon request if available.
Data & technology
Where does my data live?
In a secure cloud platform we operate, with encryption at rest and in transit. You own your data 100% — we'll export everything to you on demand, in CSV, PDF, or JSON.
Do drivers need to install anything?
We're currently working on a driver mobile app for iOS and Android. In the meantime, everything is available through a web browser as a fallback — so if you want to give drivers direct access, they can get there from any device today.
Is the platform really US-based support?
Yes. Every member of our compliance team is US-based, and our phone support is not routed overseas.
